Officer Reports
Secretary: Rene’ M.
January minutes reviewed and approved.
Treasurer: Charles H.
The total balance for all accounts is $74,532.55, including a prudent reserve of $35,117.59 and funds from Big Deep South pre-registration. The operations account stands at $21,287.48. Merchandise sales are slightly down from last month. Cost of goods sold is $4,443.20, and total expenditures are $6,255.44. Processes are being updated. While the original budget projected a $12,000 loss by year-end, current figures show a healthier economic outlook. Report accepted.
Central Office Report: Mary C.
Special thanks were given to website chair John G. for his help with the website and bulletin, which will be released Friday. Office procedures have returned to normal. Big Deep South PayPal now allows committee members to register guests and sell merchandise anytime using the POS app on their phones. Volunteers are being sought for Central Office. Discussion followed regarding which email address members should use to reach the Office Manager versus the Service Board Secretary, as well as merchandise pop-ups at the Oxford Group House meeting once a month.
Committee Reports
Website: JonGunnar G.
The website contains unnecessary content, and the goal is to keep what is useful and remove the rest. Plans are underway to move operations, including Square POS, to one integrated platform. This will improve navigation, oversight, trend analysis, and reporting. This month’s bulletin has a new format, and all information is available on the website for easy access. The aim is to make it easy for anyone opening the site to quickly find what they need. The transition will take several months.
TNC: Anthony F.
No monthly meeting due to personal emergency. AA TNC guideline binder is available for purchase at Central Office.
Big Deep South: Mary H.
The hotel’s second payment is complete, and the website is live. There are currently 244 pre-registrations. Convention announcements are going well; the latest fundraiser raised $386 and brought in additional sign-ups. Merchandise is available at $25 each, including three hat styles and various shirt sizes. Saturday dinner will be a Southern Comfort Buffet for $25 per person with flexible seating. Speakers and workshops are confirmed. Next meeting: Wednesday, March 4 at 6:30 p.m. at Parkway Presbyterian, 6200 Camphor St., Metairie.
DAAY in the Park: Jim R.
The committee should begin searching for new locations earlier, and planning should take place well in advance. DAAY in the Park began as a thank-you to home groups, but its budget has grown from $700 to over $3,500 and is no longer financially sustainable. Strategies are being considered to make it self-supporting, increase participation from home groups and surrounding districts, or convert it into a Central Office fundraiser.
Budget & Finance: Patric K.
January losses improved over last year, mainly because Big Deep South expenses were not repeated this year. To date, the year’s loss is $8,000, compared with a $26,000 loss the previous year. Excluding that factor, expenses are nearly balanced. If Big Deep South reaches its $16,000 fundraising target, the projected loss for the year would be approximately $5,000, which is much better than the original budget projection. Additional budget review and discussion will continue, with focus on improving the office’s financial position and operating as good stewards of money going forward. While Big Deep South is a fundraiser for Central Office, it should not be relied upon to cover over-expenditures.
